Project Onboarding Checklist

Scope

This checklist is to be performed after an opportunity has been closed won. Certain records are created automatically from the opportunity being set to closed won so in those cases we need to verify that these have been created correctly. Other records are created manually based on the information that should exist at the time we start this process.

The onboarding process involves several departments within OCG depending on the services that are to be provided for the project. The department responsible for a given step is identifed by the following syntax placed before the step:

  • (CSR) – Customer Service department
  • (SEO) – SEO department
  • (PPC) – PPC department
  • (Social) – Social Media department
  • (Email) – Email Marketing department
  • (Web) – Web development department
  • (Hosting) – Hosting department

Summary

  1. (CSR) Confirm that the Onboarding record exists and is complete. Refer to the ‘Onboarding Record Overview’ document for guidelines.
  2. (CSR) Confirm that the Client summary exists and is complete. If not create it by following these instructions.
  3. (CSR) Verify that a project record has been created for the closed won opportunity and the services to be provided are identified.
    • SEO service – If this project includes SEO service then pull over the keywork records from the Oppotunity record into the Project record. Instructions.
  4. (CSR) Confirm that the master record for each service to be provided has been created:
    • SEO service record
    • PPC service record
    • Social Media service record
    • Email Marketing service record
    • Website Development service record
    • Hosting service record
  5. For each service there may be additional records that need to be created. Setup of these additional records will be done by the department identified below:
    • (CSR) SEO service – Requires keyword records be created for each keyword identified in the Project record. Instructions.
    • Website Development service – Requires Website Page records to be created for each page identified for the website.
      • (CSR) Essentials website pages. Home, About, Contact and Blog archive pages are auto-created. The service(s)/product(s) page(s) need to be created.
      • (Web) Custom website pages. All pages need to be created.
  6. (CSR) Collect all required account information from the client.
  7. (CSR) Setup Organization and Organization Contacts on ocgagency.com (Nextcloud).
  8. (CSR) Confirm all information and records required to work on project services are complete. If so set the project status to ‘In Progress’.
  9. There may be additional steps to take for each service before work can begin as identified below:
    • (SEO) SEO additional steps.
      • Setup an account in SE Ranking and add details (account number) to the SEO primary record.
      • Add the “Updates On” and “Workday” to the CRM SEO primary record.
      • Setup Tag Manager and Matomo Analytics.
    • (PPC) PPC additional steps.
    • (Social) Social Media additional steps.
    • (Email) Email Marketing additional steps.
    • (Web) Website Development additional steps.
      • Setup the development site
      • Certify page records are properly created with appropriate details
    • (Hosting) Hosting additional steps.
